Custom CRM development around the way your business works
When customer details live across spreadsheets, inboxes and personal chats, follow-up becomes difficult to manage. We design and build a shared CRM for your actual stages, responsibilities and customer relationships, so the next action is visible to the right person.

When a custom CRM is worth considering
A bespoke system is useful when a stable, important process cannot be handled sensibly in your current tools: several linked services, unusual approval stages, different access levels or specialist records. We map those requirements before choosing how to build.
An existing product may be the better starting point for a straightforward sales pipeline. Configuration or an integration can solve a focused problem. The decision should consider the full cost of operation and change, alongside the first development quote.
What belongs in your CRM
| Part of the work | Possible capability |
|---|---|
| Customer record | Contacts, relevant documents, interaction history and consent fields |
| Sales pipeline | Opportunities, owners, next actions and agreed stages |
| Service | Requests, responsibility, due dates and completion history |
| Management | Workload, overdue follow-up and reports based on defined fields |
Several employees, one shared view of the customer
Employees can work from different computers against the same central information. We define who sees, edits, approves and exports each type of record. Changes need traceability, while conflicting edits and duplicate records need an agreed handling rule. The manager should be able to understand the situation without asking everyone for a separate spreadsheet.
Adapt the process to the business
- A service company: enquiry, estimate, scheduled work and completion.
- A professional office: customer file, documents, deadlines and review.
- A project studio: brief, proposal, milestones and client approvals.
- A distributor: company contacts, opportunities and order information from the relevant system.
Migration and connections are part of the design
We inspect representative existing data, define which fields move and check duplicates before migration. A trial import gives the business a chance to verify records before a final transfer. Historical data is not automatically accurate just because it was imported.
Website enquiries, bots, email, calendars and accounting systems can connect where supported. We agree the source of truth for each field and what happens if the connection fails. Official accounting documents remain within the appropriate accounting workflow.
A launch the team can actually adopt
Specification
Record workflows, roles, screens, integrations and acceptance cases.
Working first release
Build the essential customer journey before adding secondary modules.
Team review
Test real scenarios with representative users and correct confusing steps.
Introduction
Train the team, arrange backup and support, and document operation and export.
Agree access, ownership and ongoing cost
The proposal states what is delivered, who owns or controls the accounts and code, how data can be exported, and which licenses or subscriptions are required. Hosting, maintenance, integrations and optional AI usage form the operating budget. Future modules and support terms are specified rather than assumed.
Frequently asked questions
Is a CRM the same as a complete business management system?
CRM focuses on customer relationships, sales and service. Internal operations, resource planning or complex approvals may need additional modules or a separate management system.
Can it run without a paid AI subscription?
Yes. Customer records, task rules and reporting do not inherently require AI. Any AI component is optional and separately scoped.
Can we start with one department?
Yes. A focused release can establish the customer record and one workflow, then expand after the team uses it.
How is a custom CRM priced?
By the required workflows, roles, screens, data migration and integrations. We prepare a scope-based quote and identify ongoing costs.
